Refund Policy

Azle Soccer Association understands that circumstances may change after a player has been registered. This Refund Policy explains how refund requests are reviewed for ASA programs, registration fees, and related services.

By completing registration or making a payment through the ASA website or registration system, you acknowledge and agree to this Refund Policy.



General Refund Policy

Refunds are not automatically guaranteed. Refund eligibility depends on the timing of the request, the status of the season, and any costs already incurred by Azle Soccer Association.

ASA may approve, deny, or partially approve a refund request based on the circumstances of the request and the expenses already committed on behalf of the player or program.



Registration Refunds

Refund requests for player registration should be submitted as soon as possible.

Refunds may be considered if the request is made before teams are formed, uniforms or equipment are ordered, schedules are finalized, or other league costs have been incurred.

Once teams have been formed, schedules have been created, uniforms have been ordered, or the season has started, refunds may be limited or unavailable.



Non-Refundable Costs

Certain fees or costs may be non-refundable, including but not limited to:

  • Processing fees
  • Administrative fees
  • Uniforms or player gear
  • Insurance fees
  • League fees
  • Field, referee, or scheduling costs already committed
  • Any third-party transaction fees charged by registration or payment providers

If a refund is approved, these costs may be deducted from the refund amount.



Late Registration

Late registration fees may be non-refundable once a player has been placed on a team or once league planning has been completed.



Cancellations, Weather, and Schedule Changes

ASA soccer activities may be affected by weather, field conditions, scheduling conflicts, or other circumstances outside the association’s control.

Refunds are generally not provided for individual canceled practices, games, weather delays, field closures, schedule changes, or missed games.

ASA will make reasonable efforts to reschedule games or activities when possible, but rescheduling is not guaranteed.



Player Withdrawal

If a player withdraws from the program after registration, ASA may consider a refund based on the timing of the withdrawal and the costs already incurred.

Refunds are typically reduced or unavailable after teams are formed, uniforms are ordered, or the season begins.



Medical or Hardship Requests

ASA may review medical, family emergency, or hardship-related refund requests on a case-by-case basis.

Supporting documentation may be requested before a decision is made.



How to Request a Refund

Your request should include:

  • Parent or guardian name
  • Player name
  • Program or season registered for
  • Reason for the refund request
  • Best contact information

ASA will review the request and respond as soon as reasonably possible.



Refund Processing

Approved refunds will generally be issued back to the original payment method when possible.

Processing times may vary depending on the payment provider, bank, or registration platform.



Final Decision

Azle Soccer Association reserves the right to make the final decision on all refund requests.

Refund decisions are based on program timing, league expenses, administrative requirements, and the specific circumstances of each request.
